Complete Supplier Guide (PDF Format)

 

The Opportunities page allows you to have access to all MERX Supplier features, functions, and services; Public Tenders, Private Tenders, U.S. Tenders and Private Construction. On the left hand side of the page – you are welcomed to MERX.

The Opportunities page is divided into two sections:

 

·         Supplier menu links

·         List of  Opportunities

 

Searching for Opportunities:

Simple Search:

This page allows you to perform a simple broad search for Public Tenders opportunities by entering keyword(s) (terms or phrases) separated by commas. To find a specific opportunity you can enter its Solicitation Number or Reference Number

In the search bar provided, enter the keyword(s), phrases, or GSIN codes separated by commas necessary to find the opportunities you wish to find. You can use one of the search operators. Click on Searching for Character Strings for detailed information on search operators.

Select if you wish to search for Open Canadian Opportunities, Former Canadian Opportunities, Canadian Awards, Open International Opportunities or Former International Opportunities.

Below the search bar, select if you wish to receive All opportunities or only the opportunities published Since Last Login.

Click on the Search icon (magnifying glass) to perform your search.  The opportunities matching your searching criteria will be displayed.

Advanced Search:

In order to perform an Advanced Search, click on the Advanced Search link in the search bar.  This will enable you to perform a search for specific Canadian Public Tenders or International opportunities by completing at least one of the search fields detailed below. For example, to view opportunities published on a previous business day, you would enter that business day in the format dd/mm/yyyy in the Published or Revised Date field. The Advanced Search page has several sections; Keyword Search and Type of opportunity selected, Popular Searches, Categories, GSIN Group, Region of Opportunity, Region of Delivery, Tender Type, Published or Revised Date, Closing Date, and Refine Search results by.

 

How to Use the Advanced Search Form

 

Before using the Advanced Search form, it is important that you understand how the different fields work together to create a query condition. As you add more condition items to your search, you refine your search even more. It is important to note that your search results will be as good as your search criteria. If you select too many conditions, you may miss finding opportunities that are of interest to you.

 

Search Examples:

Example 1 - I want to find all opportunities for Computer Training.

Solution:

1. Type Computer Training into the Keyword(s) field.

2. Click the Search button at the bottom of the page.

All open Canadian Public Tenders opportunity notices for Computer Training will be found.

Example 2 - I want to find all opportunities for Computer Training in the province of Ontario and Quebec as well as opportunities that apply to both provinces.

Solution:

1. Type Computer Training into the Keyword(s) field.

2. In the Region of Delivery section, click on the arrow to the right of the Region of Delivery field and select the region(s) you are searching for.  In this case, click in the checkbox next to Ontario, Quebec and ON/QC and then click on the arrow again to save your selection.

3. Click the Search button at the bottom of the page.

All Computer Training opportunities for the Province of Ontario, the Province of Quebec and for both Ontario and Quebec will be found.

                   Note:

It is important to understand that the region of delivery for an opportunity may be specific to one region or a combination of regions (i.e., Ontario, Quebec, Alberta, ON/QC, Western, Atlantic, etc.). If you select ON/QC, you will only find opportunities where the goods or services are to be delivered to both provinces. You will not find any opportunities where the region of delivery is specific to the province of Ontario or the province of Quebec.

Note:   

Some buying organizations at a provincial and municipal level do not complete or provide region information in the Region of Opportunity or Region of Delivery notice fields. If you use these fields for searching, your search results may not include all of the open opportunities for the regions you are looking for. You can use the “Must have” and “Must NOT have” keyword fields to narrow your search for specific regions. For example – if you want to find all opportunities in Ontario, then enter Ontario in the “Must have” field, and enter B.C., British Columbia, Alberta, [all other province names] in the “Must NOT have” field.

 

Example 3 - I have heard that there is an opportunity to provide Printing Services to the Federal Government. I do not know which department. I do know that it was published between August 1, 2002 and September 15, 2002 and that the opportunity is to be delivered Canada Wide.

Solution:

1. Enter Printing Services into the Search bar.

2. From the Region of Delivery field, “All” should be displayed next to the field.  If a Region of Delivery had previously been selected, click on the arrow to the right of the Region of Delivery field.

3.  Click in the checkbox next to All to select Canada Wide.

4.  Click on arrow again to the right of the field or you may simply make another selection; this will also save your search criteria.

5. In the Published Range field, click on the arrow to the right of the Published and Revised Date section and then click in the checkbox right below the header and then select the Between field. You can either click on the calendar next to each field to select the date or you can enter the date 01/08/2002 in the first field and 15/09/2002 in the second field.

6. Click the Search button at the bottom of the page.

All opportunity notices for Printing Services published between August 1st and September 15th 2002 to be delivered Canada wide will be listed.

AND & OR Conditions

 

An "AND" statement is used when you want to find all opportunities that match all of the conditions specified. For example, a supplier may want to find all opportunities for printing services within the province of Ontario.

 

An "OR" statement is used when you want to find all opportunities that match any of the selected conditions. For example, a supplier may want to find all opportunities under the Category of Aerospace and under the GSIN Group of Administrative Support.

 

The combination of fields you use on this form will determine if you are creating an "AND" or an "OR" query condition.

Your search criteria can also be refined even more by entering criteria items into one or more of the Refine by fields at the bottom of the Advanced Search form. All items entered into the Refine by fields will create an "And" condition to be applied to the results of the opportunities found by the Initial Search fields.

Popular Searches

Enter the character string(s) that you wish to search for. Click on Searching for Character Strings for detailed information on search operators. Separate terms and phrases with commas.

 

Select what type of search you wish to perform; Open Canadian Opportunities, Former Canadian Opportunities, Canadian Awards, Open International Opportunities or Former International Opportunities.

 

Select if you wish to perform a Popular Search by searching for Standing Offers, Supply Arrangements or  Vendors of Record.

 

Categories

In order to find the category that best represents the opportunities you wish to find, click on the arrow to the right of the Categories field. Click in the checkbox next to all the categories you wish to select. 

 

GSIN Group

In order to find the GSIN Group that best describes the opportunities you wish to find, click on the arrow to the right of the field GSIN Group. Click in the checkbox next to all the GSIN Groups that apply.

 

Region of Opportunity

Select the Region in which the opportunity will be offered by clicking on the arrow to the right of the Region of Opportunity field. Select the region you wish to view by clicking in the checkbox next to the region(s) of interest.  If you wish to view opportunities from across Canada, select All.

 

Region of Delivery

 

 

 

 

Tender Type

Select the Region in which the opportunity will be delivered by clicking on the arrow to the right of the Region of Delivery field.  Select the region you wish to view by clicking in the checkbox next to the region(s) of interest.  If you wish to view opportunities all across Canada, select All.

 

Select the Tender Type of the opportunities you wish to view.  Click on the arrow to the right of the Tender Type field and  then select the Tenders of interest by clicking in the checkbox to the right of the Tender Types you wish to view..  If you wish to view all Tender Types, select All.

 

Published or Revised Date

Use this field to find opportunity notices that were published or revised within a specified date range. Click on the arrow to the right of the Published or Revised Date section.  Click in the checkbox underneath the header.  You can then select the date by clicking on the calendar next to the field you wish to search; is, within or between, or by entering the date in the following format dd/mm/yyy.  If you wish to view one specific date, select the Published or Revised Date is.  If you wish to view notices that were Published or Revised recently, select the field Within and search within One day, One week or One month.

 

Closing Date

Use this field to find opportunity notices that are Closing within a   specified date range. Click on the arrow to the right of the field. Then click the checkbox underneath the to the Closing Date header. You can then  select the date by clicking on the calendar next to the field you wish to search; is, within or between, or by entering the date in the following format dd/mm/yyy.  If you wish to search for one specific date, select the Closing Date is.  If you wish to view notices that are closing in the near future, select the field Within and search within One day, One week or One month. If you are looking for opportunities closing within a certain timeframe, select the Between field and select the from and to dates the system should base its search criteria on.

Refine Search Results by

 

The following fields allow you to refine your search by ensuring that certain terms or phrases are included or not included in opportunity notices.

Must have

Enter the terms or phrases (separated by commas) that MUST be included in the opportunity notice(s). For example, if you want to only look at opportunity notices about training services, enter training services into the Must have field.

 

Must Not have

Enter the terms or phrases (separated by commas) that MUST NOT be included in the opportunity notice(s). For example, if you do not want to see any opportunities about computer hardware, enter computer hardware into the Must Not have field.

 

ACAN

If you wish to include Advanced Contract Award Notices (ACAN) in your search, select "Yes" from the drop down list. Select "No" if you do not wish to include ACAN notices in your search results.

Search button

To perform a search, click on this button. The search results will be displayed on the Opportunities page.

Clear button

To clear the selected detail search criteria, click this button. All search fields settings will return to default. 

 Menu Links

The Menu links are displayed on the left side of the page.

Opportunities

This option allows you to access the Opportunities page, from which you will be able to find and display opportunity notices.

Category View:

This option allows you to view and search opportunities using the category matrix.

Opportunity Matching Profile:

Under this sub-header you will be able to Create, Manage, and Run your Opportunity Matching profile(s).

My Account Activity:

This option allows you to access your Opportunity Ordered List, your Order Tracking Report and View Statements. 

 

The Opportunity Ordered List is a list of the opportunity notices you have ordered. Here you can check to see if you have selected the option to receive amendments or notifications.  You can sort the list by Confirmation Number, Purchase Order Number (if one was used), or by Date Ordered. If you have clicked on a confirmation number you will be taken to a screen from where you can download PDF files of all opportunity documents you have ordered (if PDF is available).

 

The Order Tracking Report will permit you to search for a specific MERX Reference or Solicitation number and access all your order details for that opportunity.

 

You can also view your MERX statements for the last 12 months.

Manage My Account:

This option allows the Supplier Coordinator to access profile maintenance functions such as updating the organization’s information or updating/adding new supplier contacts.  If your role is a Supplier, you will access the View Own Contact Information page.

Information:

From this page you will be able to access the Merx and Government Announcements, as well as various public sector government information sites, provincial and federal government purchasing policy documents, standard contract clauses, standard purchasing terms and conditions, etc.  This feature also gives you access to information about upcoming MERX events and our Frequently Asked Questions section.
