  HMMS02442 - Email Migration, Software and Services

LHSC and St. Joseph’s are requesting proposals to select a vendor for the supply of email migration software and professional services. The organizations are embarking on a transition from Novell Groupwise to Microsoft Exchange to be completed in the fall of 2016. Our goal is to migrate all users and their messages while minimizing the period in which both email systems are in concurrent production operation.

Email has played a significant role in the daily clinical, business and research operations of LHSC and St. Joseph’s for many years. To this we are seeking a vendor who has demonstrated experienced in providing email migration and coexistence services between the specified platforms on scale similar to our large hospital environment.

Due to the limited in-house resources available to support the production email environment we are looking for a vendor able to provide professional services to assist in the migration services setup, operation and cut-overs to the new email system.

The estimated spend on this portion of the project is $340,000.


LHSC and St. Joseph’s have approximately 20,000 Novell Groupwise 2012 email accounts distributed among 5 internet domains. The cumulative size of the individual mailboxes in the Groupwise system is approximately 30 TB. An additional 2 TB of messages are stored in Groupwise archive files located in individuals personal network drives.

The hospitals have a shared eDirectory environment and a parallel Active Directory system. eDirectory accounts are synchronized to the Active Directory using Novell Identity Manager.

Term of Agreement
The duration of the Agreement(s) pursuant to this RFP, will be for a one (1) year period, estimated to commence April 1, 2016.
The organizations are working towards a production Microsoft Exchange go-live date in October 1, 2016.
